The Role
- Expense Management & Financial Admin
- Manage, track, and process corporate expenses and travel reimbursements for the investment team in alignment with company policy.
- Reconcile monthly credit card statements and corporate expense accounts.
- Assist in budget tracking and flag variances or unusual expenditures to the Team Lead.
- Invoicing & Vendor Management
- Oversee the end-to-end invoicing process, including verifying invoices from external vendors, legal counsel, and consultants.
- Coordinate with the Finance/Accounting department to ensure timely and accurate payments.
- Maintain an updated ledger of vendor contracts, subscription renewals (e.g., Bloomberg, Reuters), and processing schedules.
- Documentation & Record Keeping
- Organize and maintain confidential investment documentation, including NDAs, Term Sheets, KYC/compliance records, and portfolio performance reports.
- Ensure the team's digital filing system (SharePoint, Google Drive, or internal CRM) is structured, secure, and easily searchable.
- Assist in formatting, proofreading, and preparing presentation decks or meeting minutes for investment committee reviews.
- Team Operational Support
- Coordinate schedules, complex calendar management, and travel arrangements for investment professionals.
- Act as the primary internal liaison between the Investment Team and support functions like Finance, Legal, and HR.
Your Profile
- Experience: 2-5 years of administrative or operational experience, ideally within banking, private equity, asset management, or corporate finance.
- Education: Bachelor's degree in Business Administration, Finance, or a related discipline is preferred.
- Technical Skills:
- Proficiency in MS Office (especially Excel for expense tracking and PowerPoint for presentations).
- Familiarity with expense management software (e.g., Concur, Expensify) and basic accounting/invoicing workflows.
- Soft Skills:
- High level of discretion and trustworthiness when handling sensitive financial and investment data.
- Excellent organizational skills with the ability to prioritize tasks under tight deadlines.
- Strong verbal and written communication skills to interface effectively with senior management and external vendors.
