Rota Planning & Workforce Coordination

  • Taking a key role in planning, preparing and maintaining staff rotas.

  • Working closely with managers to ensure rotas reflect staffing requirements and service needs.

  • Identifying staffing gaps and supporting the coordination of appropriate cover.

  • Managing rota changes, including adjustments for annual leave, sickness and other absences.

  • Supporting effective workforce planning to ensure services remain appropriately staffed.

  • Maintaining accurate rota information using relevant systems and ensuring changes are communicated promptly.

  • Monitoring staffing arrangements and highlighting potential issues to managers.

  • Providing high-quality administrative support to managers and operational teams.

  • Maintaining accurate office systems, records, reports and communications.

  • Supporting area finance processes and office budgets.

  • Acting as a key point of contact for colleagues, visitors and external partners.

  • Organising meetings, coordinating information and supporting area-wide administrative tasks.

  • Ensuring relevant information is communicated effectively across services.

  • Supporting managers with general administrative duties and operational requirements.

What We're Looking For

Essential Experience & Skills

  • Previous experience of rota planning, staff scheduling or workforce coordination is essential.

  • Demonstrable experience of managing complex rotas, responding to staffing changes and coordinating cover.

  • Experience in administration, office coordination or business support.

  • Excellent organisational and time-management skills, with the ability to manage multiple priorities and deadlines.

  • Strong attention to detail and accuracy, particularly when managing staffing information.

  • Confidence using Microsoft Office, particularly Excel, and digital rota or scheduling systems.

  • Excellent written and verbal communication skills.

  • The ability to build effective working relationships with managers and colleagues across multiple locations.

  • A proactive, reliable and solutions-focused approach.

  • Confidence working independently and using initiative to manage workloads.

  • An understanding of confidentiality and the importance of maintaining accurate records.

Desirable Experience

  • Experience of rota planning within health and social care or another 24-hour service environment.

  • Knowledge of staffing requirements, working time considerations and workforce planning.

  • Experience supporting multiple teams or services across different locations.

  • Experience using workforce management or electronic rostering systems.

Working Hours

This is a part-time position working:

Monday to Thursday - 8:00am to 3:00pm

The role will provide consistent administrative and rota planning support during these hours.

Why Join Brandon Trust?

You'll be joining a supportive and collaborative team, playing an important role in ensuring our services are well organised and effectively staffed.

This is an excellent opportunity for someone who enjoys rota planning, workforce coordination and administration, and takes pride in helping teams work efficiently.
